General conditions for hiring the halls

Duration and scope of the lease

The conference, seminar or sports hall can be rented for educational, presentation, social, sporting and other events. The hirer is obliged to respect the above limitation on the number of participants in order to ensure their safety and to ensure that the premises are used for the purpose for which they are hired.

The hall can be rented between 7am and 10pm.
The rental includes the preparation of the hall and the use of the indoor technical equipment.

The duration of the rental period is agreed in writing between the Client and Vitalis Centre (e-mail agreement is also accepted).

The rental period is the time when the hall is actually made available to the hirer (e.g. for preparation) until the departure of the last student. If the time of actual use of the hall exceeds the agreed rental time, the rental charge may be increased. Each hour of use of the lecture theatre is counted as a full hour of rental.

Event size in relation to number of participants

The capacity of each room is published on the Vitalis website. The capacity of each room must be taken into account by the hirer in the preparation of the event and must not be exceeded.

Equipment and services

The conference room rental price includes the following technical equipment: magnetic board, sound system, projector and screen, 2 microphones, TV, Wi-Fi and air conditioning.

The rental price for the seminar hall includes the following technical equipment: magnetic board, projector and screen, Wi-Fi, air conditioning and coat rack.

The rental price for the sports hall includes the use of changing rooms (showers, toilets) with lockers, an anteroom with tables and chairs, and small props (on request).

Hall rental prices

The price of hiring the halls is set according to the Vitalis Centre’s current price list. The price includes 22% VAT.

The rental price includes the use of the interior and technical equipment and the preparation of the lecture theatre. If the rental requires more complex cleaning after the event, the renter will be charged extra according to the cleaning service’s price list.

Insurance

The hirer is responsible for the insurance of the event. It must ensure that measures are in place to ensure the occupational safety of all performers and those involved in the set-up and organisation of the event, and that they are insured against any accident or injury. It shall also be liable for damages. He shall also ensure that all his technical equipment necessary for the performance of the event is properly protected.

Causing damage

The hirer is responsible for the technical equipment hired during the rental period. It is recommended that any additional equipment or elements required for the lecture or meeting are installed in the halls in the presence of an authorised person of the Company.

The tenant is obliged to compensate for any damage caused by him/her or in the course of his/her business to the rented premises or areas, to other premises and installations, and to the functional land. The Vitalis Centre shall organise the restoration of the damage caused. The Hirer shall also be liable for any damage caused to visitors during the event.

Termination period and payment obligation

The hall can be cancelled free of charge 5 working days before the scheduled rental date. For cancellations made three working days or less before the event, Vitalis Centre will charge a handling fee of 30% of the rental price as quoted or invoiced.

Payment terms

Upon completion of the rental, the landlord will issue an invoice with a payment period of 8 days. In the event of late payment, the landlord reserves the right to charge the tenant statutory default interest.

Complaints

Complaints are accepted in writing. The deadline for making a complaint is 8 days after the service (rental) has been provided.

In addition to these SPCs, the relationship between Vitalis and the tenant is governed by the Rental Agreement and the Service Price List.

The price list and general terms and conditions are valid from 1 January 2019.

Hotel General Terms and Conditions

Breakfast is available for a charge of €9.00 per person.

Full board: Private dinner reservations can be made at top-rated nearby restaurants. From reservations to recommendations, our staff can take care of everything and help you make the most of your visit.

Pets: Pets are not allowed.

Arrival: After 14.00. Earlier check-in is possible by arrangement.

Departure: Before 12.00. 12:00 – 12:00.

Reservations: Reservations are accepted by phone, by e-mail or via our on-line booking system. All guests are kindly requested to provide us with credit card details to guarantee their reservation. These will not be charged until your departure, except for reservations made under special conditions.

Advance payment: No prepayment is required at the time of booking. Credit card details are for guarantee purposes only and no charges will be made prior to arrival, except in the case of late cancellation, no-show or booking under non-refundable advance payment. The full amount of the stay is payable at the time of check-out.

Termination terms: Guests can cancel their confirmed/guaranteed reservations without charge up to 10:00 two days before the booked date. Late cancellations are subject to the following charges:

  • Cancellations made two days or less before the booked date will be charged 80% of the total booking.
  • in case of a “no-show”, 100% of the total amount of the reservation will be charged.

Children: Children up to 4 years are not charged for sharing a room with parents without extra bedding (1 child per room).

Children: Children up to 4 years stay free of charge in the room with their parents without extra bedding (1 child per room).
